Work and Travel Program Assistant

Within Greenheart Exchange, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of eight weeks to four months. Greenheart Exchange’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American Host Organizations. As the only environmentally conscious J-1 visa sponsor, we pride ourselves on providing a quality experience while encouraging and enabling Greenheart Exchange staff, participants, and Host Organizations to work together on projects that promote environmentalism and sustainability.

The Work and Travel Department is looking to hire temporary staff to provide support to its teams in the Operations and Services divisions.

Program Assistants will work in either the Operations division or the Services division. The following job duties are examples of items Program Assistants may be responsible for, by division.

  • Operations:
    • Perform application review and self-arranged job offer entry into an online database
    • Sort and file DS-2019 forms and process their shipments
    • Evaluate participant arrival information (flight, visa, and U.S. address)
    • Assist in verifying U.S. Host Organizations suitability and seasonality by phone and email in a timely manner
    • Answer Greenheart International’s and Work and Travel department’s main phone lines
    • Serve as in-country support to Self-Placed Program Participants by ensuring their health, welfare, and safety during their program
    • Serve as an U.S. Host Organization point of contact throughout the program season
    • Generate daily and weekly reports from Greenheart’s internal database
    • Attend weekly division meetings as required
    • Additional duties may be assigned on a case by case basis
  • Services
    • Interview Work & Travel potential participants on Skype to determine English proficiency and job placement preferences
    • Recommend participants to host organizations, based on interests and qualifications
    • Answer Greenheart International’s and Work and Travel department’s main phone lines
    • Serve as out of office back up for host organization contacts throughout the season
    • Assist in prioritizing and responding to new host organization inquiries
    • Assist in preparations for local and overseas hiring events
    • Generate daily and weekly reports from Greenheart’s internal database
    • Serve as in-country support to Full Placement Program Participants by ensuring their health, welfare, and safety during their program

Some qualifications you should have:

  • Associate’s degree required. Bachelor’s degree from a four-year college or university preferred.

You should have the ability to work in open office environment.

Compensation: $13 per hour

Time Frame: This is a full time, temporary position. Most contracts will conclude on September 14, 2018. Extensions may be granted on a case by case basis. Performance reviews will be completed at the 3 month mark to ensure expectations are being met.

Assistant to the President and Greenheart Transforms

As the Assistant to the President and Greenheart Transforms, you will spend about half of your time assisting the President and Founder of Greenheart International, Emanuel Kuntzelman, with tasks such as representing him to staff and outside stakeholders, providing information, and offering administrative support. The other half of your time will be spent assisting with Greenheart Transforms projects, which include events and online offerings that aim to transform consciousness, expand worldviews, and empower individuals and groups to hold their highest purpose in service to the whole.

Some things you might do as the Assistant to the President and Greenheart Transforms:

  • Conserves the president’s time by reading, researching, and routing correspondence; primarily by drafting letters and emails.
  • Maintains executive’s appointment schedule by planning and scheduling meetings, Skype calls, and travel
  • Represents the president by attending meetings in his absence; speaking for the president, taking notes, and reporting back
  • Completes and maintains president’s monthly expense report and helps prepare budgets
  • Welcomes guests and customers on behalf of the president by greeting them, in person or on the telephone; answering or directing inquiries

  • Prepares Powerpoint presentations for the president by collecting and formatting information

The role of Development Director at Greenheart International is a dynamic opportunity for your career in fundraising. Established in 2013, the Development Department has created, grown, and enhanced a multitude of key Greenheart programs that offer scholarships and service grants to recipients in Chicago and around the world.  The Development Director is responsible for overseeing all activities of Greenheart’s fundraising including determining and overseeing the annual budget, donor prospecting and engagement, planning fundraisers, staff and community trainings, marketing and communications, and more. In this role, you will have the unique opportunity to take on a great deal of responsibility, craft a strategic plan for the future of fundraising, work closely with Greenheart leadership, and fulfill our mission of connecting people and planet to create global leaders. The position will also supervise the Outreach manager, and therefore the programs in which development fundraisers for. This provides the Development Director with the opportunity to become invested in the beneficiaries of development and to shape Greenheart’s signature programs from a programming and fundraising perspective.

Responsibilities:

Programmatic Funding:

  • Work closely with Department Directors, the Board of Directors and the Fundraising Team to determine annual programmatic and fundraising goals
  • Oversee Outreach manager and provide support to Outreach Manager in their role of overseeing the Communications Assistant
  • Manage the development budget and serve as a liaison to the programming teams and accounting
  • Ensure that 2017 funding  is achieved for a variety of scholarship goals
  • Assist with the logistical planning of scholarship and service grant programs as necessary

Donor Engagement

  • Assist the Board of Directors in fulfilling their funding goals
  • Work with the Marketing Department to develop appropriate giving materials
  • Manage all giving through the CRM system and the Greenheart donation webpage
  • Work to develop a long-term donor engagement strategy that includes:
    • Direct mailing campaigns
    • Crowdfunding campaigns
    • Donor recognition materials and events
    • Grant and corporate sponsorship prospecting strategies
  • Oversee the process for updating infrastructure and technology to support engagement

The Annual Fundraiser     

  • Manage the annual fundraiser
  • Work with the Development Department to determine the theme, location, and funding goals of the event
  • Collaborate with the Marketing Department to develop logos, invitations, signage, and other marketing pieces
  • Establish a corporate benefits packages and secure corporate sponsorship
  • Train all staff volunteers

Other

  • Deliver fundraising presentations at Greenheart conferences and staff trainings
  • Lead all Greenheart events that involve fundraising
  • Supervise the Fundraising and Event Intern on the following tasks:
    • Secure all in-kind donations for alcohol, food, and silent auction items for the Greenheart Gala
    • Input of donor data into the Neon CRM system
    • Generate thank you letters for donors
    • Assist with Greenheart Gala organization
  • Oversee the collection and dissemination of programmatic impact metrics, including the Impact Report
  • Assist in other Greenheart projects and programs as needed

Requirements

  • Fundraising certification a plus
  • Minimum of 5 years of experience in fund development with a non-profit
  • Major Gifts background preferred

The High School Programs Department is looking to hire a Program Manager who will work with international sending partners and regional staff to manage pre and on program support of high school exchange students and assist in the everyday administration of the office and program.

Some things you might do as a Program Manager:

  • Learn and understand application intake process for a dynamic and engaging exchange program for high school students coming to the U.S. for 5-10 months
  • Utilize our custom database and maintain student records in the Department of Homeland Security Student Exchange Visitor Information System (SEVIS)
  • Facilitate the lines of communication across the US and the globe between Greenheart Exchange, its representatives and international partners including the simultaneous management of multiple stakeholder expectations in a fast paced and changing environment
  • Regular mediating, crisis management, and problem solving with students, host families, our field network and international sending partners
  • Assisting in the development or revision of Greenheart Exchange procedures, policies and program materials.

Regional Director

Greenheart Exchange is seeking individuals with previous work experience as a Regional Manager, Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered.

Greenheart Exchange has J-1 designation by the U.S. Department of State to bring international high school students to the United States through our J-1, F-1 and Short Terms Programs, to live with host families. The Regional Director position is a crucial leadership position within the High School Programs department, by supervising a team of 20-50 Local Coordinators, and 75-100+ exchange students every year.

Responsibilities include, but not limited to:

  • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the timely placement of J-1 and F-1 exchange students with host families, who will attend high school for a semester or full academic year.

Greenheart encompasses four main branches: CCI Greenheart, Greenheart Travel, Greenheart Shop, and Greenheart Transforms.

Within Greenheart Exchange, the Career Advancement Program (CAP) Department has J-1 Internship and Trainee designations through the U.S. Department of State to bring international professionals to the United States on a cultural exchange program that allows them intern or train with a U.S. business. CCI Greenheart’s CAP program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international professionals and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Duties:

  • Assist with data entry related to participant Training/Internship Placement Plans (TIPPs)
  • Edit and draft blog postings to WordPress site
  • Assist in updating the website
  • Manage online General Inquiry form and constant contact follow up
  • Track stakeholder testimonials
  • Track cultural check-ins
  • Update Handbooks as well as other stakeholder materials
  • Assist with the execution and follow up for various trips
  • Draft newsletters to be distributed to host organizations, current participants, and alumni.
  • Assist in developing resources for stakeholders
  • Conduct potential participant Skype interviews
  • Review TIPPs for batching (as needed)
  • Managing inventory of CAP promotional materials
  • Assist with outreach initiatives (newsletters, postcards, additional follow up with potential stakeholders)
  • Assist in the implementation/management of CAP social media platforms (facebook/instagram/snapchat)
  • Assist in compiling staff meeting agenda
  • Assist in compiling data on participant programs (denials, appeals, date changes)
  • Perform general office tasks such as prepare shipments, answer phones, answer door, greet guests, distribute mail, and monitor office inventory (printer paper, shipping materials, etc.).
  • Additional projects as assigned. Internship goals will be determined by the intern and supervisor.

Qualifications:

  • Current college or university student or recent graduate from a four-year college or university.
  • Creative and outside-of-the-box thinking.
  • Self-directed and flexible with an exceptional ability to multi-task.
  • Excellent attention to detail and ability to work in an exhilarating and fast-paced environment.
  • Ability to interact within groups of all ages, nationalities, ethnicities and backgrounds.
  • Dedicated to cultural exchange, travel and/or have a passion for learning about other cultures.
  • Outgoing personality with a willingness to learn.
  • Strong work ethic and excellent written, oral, and interpersonal skills.
  • Excellent computer skills with competence in Microsoft Office Suite
  • Interest in industry and learning more about J-1 visa programs
  • Preferences: Ability to speak a second language and/or have experience living abroad; knowledge of social media outlets.

Spring Marketing and Outreach Intern

Type of Position: 3 Month Spring Internship
Department: Work and Travel Department
Start Date: Late December/Early January
Hours: 20 hours/week, 7:30 a.m. – 5:30 p.m. flexible times
Location: Chicago, IL

**This is an unpaid internship. Course Credits are available.**

The Work and Travel department within Greenheart International is dedicated to providing cultural exchange opportunities for international university students who come to the United States to work entry-level position during their academic break. Through its partnerships with several host organizations and international agencies, Work and Travel is able to sponsor over 6,000 international students each year.

Duties:
Responsibilities of the Intern may include, but are not limited to:

  • Research community information and track testimonials
  • Update Job Fair Handbooks as well as other marketing materials
  • Assist in updating the website
  • Assist with social media platforms to ensure they are up-to-date and on trend
  • Research methods of interacting with stakeholders on social media outlets (i.e.: Google+, LinkedIn, Pinterest, and Snapchat)
  • Track consumer behavior through Google Analytics and mass emails
  • Edit and draft blog postings to WordPress site
  • Assist in updating and photo gallery
  • Assist with the execution and follow up for various trips
  • Assist with any urgent and unexpected items
  • Perform an occasional data entry

Qualifications:

  • Bachelor’s degree in progress or higher. Candidates who are studying in International Education, and/or Marketing and Outreach are preferred.
  • Creative and outside-of-the-box thinking.
