Work and Travel Operations Assistant

    The Work and Travel Department is looking to hire full time staff to provide support to its team in the Operations divisions.

    The following job duties are examples of items Operations Assistant will be responsible for:

    • Perform application review and job offer entry
    • Process DS-2019 Forms shipments
    • Collect and evaluate participant arrival information
    • Assist in verifying U.S. Host Organizations in a timely manner
    • Serve as in-country support to Self-Placed Program Participants

    The WT department is looking to hire a full time Compliance Coordinator to serve as the internal expert on all compliance-related items for the J-1 Summer Work Travel program. The Compliance Coordinator will be responsible for supporting WT department staff by doing host organization screening, reviewing foreign partner documents, conducting site visits, reviewing participant applications, providing phone support, representing the department in government communications, designing internal procedures, contributing to database development, and ensuring that compliance is observed throughout the entire WT department. This position has a great advancement potential within this growing department.

    Responsibilities include, but not limited to

    • Develop knowledge of regulations and compliance protocol
    • Develop new compliance resources
    • Find new and creative ways to communicate policies and Department of State (DoS) regulations to all program stakeholders
    • Serve as an expert on labor codes/regulations, including maintaining minimum wage standard
    • Enhance and manage participant support and disciplinary actions
    • Draft, review and update internal procedures and processes as needed
    • Update CCI Greenheart’s regulations webpage and resources pages for partners, participants, and employers
    • Track serious/escalated participant issues
    • Maintain list of extra monitoring areas
    • Potential of up to 10% travel
    • Assist staff in drafting materials and program responses and with subsequent revisions
    • Draft DOS incident reports and follow up, as needed. Serve as back-up DOS contact.

    • Work with Partner Relations staff to review partner materials during vetting process on a seasonal basis
    • Assist Operations Director with database development
    • Do application review, incoming participant, and employer data review and processing during peak season
    • Serve as Alternate Responsible Officer in SEVIS
    • Manage monthly internal audits including sending assignments, collecting feedback, following up with staff, providing updates during WT@11 meetings, and maintaining audit procedure
    • Monitor and maintain participant programs, requiring swift and diplomatic conflict resolution skills
    • Conduct regulations training with partners via Go To Meeting
    • Conducts staff trainings, assists with and, on occasion, lead weekly blitzes

    Regional Manager Position – J-1 High School Program

    Type of Position: Part-time salary employee
    Hours: 20+ hours/week
    Location: Work from home
    CCI Greenheart is seeking individuals with previous work experience as a, Area Coordinator, Regional Manager/Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered. (If that is the case, please consider CCI Greenheart’s independent contractor Local Coordinator position.) CCI Greenheart has J-1 visa designation by the U.S. Department of State to bring international high school students to the United States through our High School Programs, to live with volunteer host families. The Regional Manager position is a crucial leadership position within the High School Programs department, by supervising a team of 10-20 Local Coordinators, and 25-50+ exchange students every year.Responsibilities include, but not limited to:

    • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the placing of exchange students with volunteer host families, who will attend high school for a semester or full academic year.
    • Lead the regional team of field staff to ensure timely placement of all students assigned to the region, and that the proper documentation for the placement has been supplied through CCI Greenheart’s database.
    • Create a development plan for the region, which includes a regional training meeting for LCs.
    • Maintain compliance with Department of State regulations by providing the necessary documentation via the database for all students placed in the region (proper host families, host family information forms and school permission forms, contact logs, etc)
    • Work closely with the staff in the Chicago office through regular email, phone, and skype communication.

    Skills:

    • Must have previous experience working with a cultural exchange organization (J-1 international high school students)

    Summer Group Coordinator – Short-term Groups and Homestays

    ESL Student Recruiter – Greenheart English Camp

    Greenheart English Camp is a three week ESL summer camp designed exclusively for international teenagers with at least 2 years of English experience.     Internship & Volunteer Opportunities

    Development Volunteer Intern

    Type of Position: Internship
    Start Date: Early September 2016 to Late December 2016
    Hours: Flexible, 10-15 hours per week minimum and attendance at some Greenheart International events in Chicago

    What we are looking for:
    We are looking for a Volunteer Intern for the Development Department of Greenheart International that will assist with all initiatives of the Development Department in several capacities. The specific role of the Development Intern will relate to planning the Annual Fundraiser, prospecting individual and corporate donors, and facilitating with the donor CRM database. This individual will gain and in-depth understanding of fundraising and the needs of a growing development department.
    Some things you might do as the Development Intern:
    Fundraising

    • Research Chicago corporations and their stewardship goals
    • Develop marketing materials for donor solicitation

    Communications

    • Assist with the CRM database for fundraising and outreach initiatives
    • Develop “Best Practices” for data entry and donor recognition
    • Record and analyze fundraising data, including the NEON website and greenheart.info webpage
    • Implement the monthly e-blast giving campaign
    • Monitor donations and their effect on specific giving campaigns
    • Create a template for development emails include solicitations, events, recognition, and taxes

    Events

    • Assist with the Greenheart Annual Fundraiser logistical planning
    • Research and solicit corporate sponsorships and in-kind donations
    • Ensure all donations are recorded into NEON
    • Help create an event webpage and manage ticket sales
    • Work with development to create promotional materials for the Annual Fundraiser

    Part-Time Volunteer Shop Assistant

    Responsibilities:

    • Greets customers in a friendly manner, educating all new customers about our mission to support Fair Trade, eco-friendly, and local social mission based enterprises.
    • Learns about and offers additional commentary to customers as needed on the stories and ethics behind certain products.
    • Rings up sales at the register (if comfortable learning) and/or helps to wrap and package purchases for customers.
    • Helps to restock products and supplies and re-merchandise products on the floor as needed.
    • Help set up/break down displays, talk to customers, and make sales at offsite events (sales events away from the store).
    • May help with other duties such as counting and labeling products and cleaning.

    Desired Qualities:

    • Either prior knowledge of, and education in, Fair Trade/sustainability or a strong desire to learn more.
    • A passion for improving the working conditions of people around the world, preserving the environment, and educating people about the stories behind the products they purchase.
    • Some retail experience a plus, but not necessary. Volunteers must be willing and open to learn the basics of retail in a non-profit.
    • Able to climb stairs to the basement to restock products.

    Time Commitment:

    • Preferred commitment of at least 3 months of volunteering at Greenheart Shop
    • At least 2-4 shifts per month of 4 hours each, with flexibility for school/work schedules
    • Volunteer candidates will be scheduled as needed based on their availability and the shop’s need, generally during store hours of Mon. – Fri. 11am – 7pm, Sat. 10am-6pm, and Sun. 10am-5pm. We are especially in need of volunteer assistance at our offsite sales events, which usually occur on weekends at churches or festivals around the city of Chicago.
