CAP Program Assistant

Within CCI Greenheart, the Career Advancement Program (CAP) Department has J-1 Internship and Trainee designations through the U.S. Department of State to bring international professionals to the United States on a cultural exchange program that allows them intern or train with a U.S. business. CCI Greenheart’s CAP program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international professionals and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Some things you might do as the Operations Assistant or Services Assistant include, but are not limited to:

Operations:

  • Conducting candidate interviews to determine English speaking and comprehension skills, and answering questions they may have about the program and/or next steps in application process
  • Screening new and existing host organizations for compliance and suitability, creating/updating host accounts in CCI Online, and coordinating (and conducting) site visits when necessary
  • Generating monthly reports and following up with host organizations whose Workers Compensation policies are about to expire to obtain updated policy
  • Assisting with candidates’ application review process to ensure all information has been completed and materials have been uploaded to their CCI Online account
  • Reviewing and preparing Training Plans to ensure batchability
  • Assisting with entering Training Plan content and participant updates in SEVIS (RTI)
  • Collecting data on participants’ visa denials and identifying trends that may require CAP and/or partners to address any possible issues that may be impacting visa success rates
  • Supporting daily program operations through administrative oversight
  • Serving as primary point of contact fielding general program inquiries from prospective host organizations

Position will also include general office duties such as heavy assistance with answering phones (CAP toll-free number and Greenheart main line), processing courier shipments, and other administrative operations support.

Services:

  • Reviewing participants’ monthly check-ins to identify any issues or opportunities worth following up on, and reminding participants when check-in deadlines have passed.
  • Conducting check-ins with participants and hosts at the beginning of each new rotational phase to ensure they have moved into their new training phase, as dictated by their approved Training Plan.
  • Helping to ensure participants validate their program once they enter the U.S. and following up on late validations.
  • Reminding participants and their supervisors to submit mid-program and final evaluations, reviewing evals for any issues or opportunities worth following up on, and logging correspondence details.
  • Collecting visa interview results and arrival details from partners and applicants
  • Compiling data, coordinating logistics, and assisting with preparation for site visits conducted by staff
  • Assisting with in-country support while participants are on program
  • Supporting daily program operations through administrative oversight

Greenheart Travel Outreach Coordinator

We are looking for someone who will oversee Greenheart Travel’s outreach, networking, and business development efforts. The Outreach Coordinator will work on developing new and reinforcing existing partnerships with universities and high schools by leveraging relationships of our alumni (Greenheart Travel’s program participants). This role will also be responsible for maintaining our alumni network by providing opportunities for mentorship, developing professional development resources, and maintaining a network of campus ambassadors. Furthermore, Greenheart Travel is working to build its name in the Chicago area; the person in this role will be attending and hosting local networking events & conferences. Ultimately, this role is intended to bring new participants to Greenheart Travel’s programs through getting in front of potential participants and developing meaningful partnerships with alumni and schools. It will require personal engagement with alumni and persistence. The Outreach Coordinator will be required to explain the details of the programs we have and inspire interested teachers/administrators/alumni to bring our programs to their networks.

Greenheart Travel is growing rapidly, so we’re looking for someone who is highly adaptable and able to actively contribute to new ideas, growth and constant improvement. We have a small staff, and each person wears many hats, and our roles are constantly evolving. Every staff member has input in the brainstorming and direction of our department.

Service Learning and Outreach Manager

DOVE is a department that focuses on Development, Outreach, Visibility and Engagement. This includes fundraising and event planning; outreach and volunteer programming; and marketing across print and digital platforms.

The Service Learning & Outreach Manager works with a variety of Greenheart participants to have meaningful service experiences during their programs and equips participants to be engaged volunteers.

Duties:
Responsibilities of the Intern may include, but are not limited to:

  • Greenheart Outreach Team, a cross departmental team comprised of around 10 people
    • Set the agenda and lead the outreach team in weekly meetings.
    • Set and define roles for each outreach team member and follow up with each member throughout the year
    • Work with the outreach team to set universal goals for Greenheart Outreach throughout the year
    • Collaborate with individual outreach team members to implement service learning programs that align with specific business and program goals for that department
    • Collaborate with outreach team members to develop and update marketing materials and communications to participants and community members for Greenheart Outreach via print, web, social media, and emailtheir communities
  • Greenheart Service Grants, funds granted to our current and past participants to implement service projects in their communities
    • Budget and outline the strategy for the Greenheart Service Grant application and allocation process throughout the year
    • Work with the Greenheart Outreach Team in evaluating service grant applicants, allocating grants, and following up with closeout materials for each project
  • Greenheart Leadership Events, enhancement events, trips and conferences for our community members
    • Project manage the Greenheart Global Leaders Conference, Jr. Greenheart Global Leaders Conference, Greenheart Trips, and Camp Greenheart
    • Recruit exchange students to participate in Greenheart Leadership Events
    • Evaluate impact of service learning programs on participants for program improvement through process and program evaluation
    • Specific Camp Greenheart duties:
      • Direct Camp Greenheart, a one-week residential summer camp for Chicago youth ages 9-13.
      • Focus on maintaining and strengthening our relationships with partner schools, organizations and sponsors
      • Communicate with School Liaisons and parents; lead school presentations for camp outreach
      • Plan, improve and implement the curriculum for Camp Greenheart to reflect the mission of Greenheart International
      • Collaborate with J1 and F1 program managers to recruit Camp Greenheart Leaders
      • Train all camp counselors in training, leaders and counselors important issues facing our world and how we can tackle them
  • Greenheart Club, our online portal used to log and track volunteer hours, find resources and learn about
    • Collaborate with Web Developer to manage Greenheart website development and maintenance
    • Collaborate with Greenheart Outreach Team and liaisons to reflect, discuss, and implement improvements to the club.
    • Create trainings and resources for participants and community members to be successful volunteers
  • Greenheart Community Outreach
    • Implement and oversee the organization-wide Going Greenheart Tour
    • Work with our High School Programs Department to implement and monitor successful Local Coordinator Projects
    • Organize staff volunteer days
    • Collect and share Greenheart community member stories of service, volunteerism and global leadership through a variety of mediums and networks (social media, blogs, newsletters, video)
  • Greenheart Ambassador Scholarship Program, for all participants who receive a Greenheart scholarship
    • Implement and oversee the organization-wise Ambassador Scholarship Program
    • Ensure all scholarships are using appropriate branding and adhering to Greenheart Ambassador Scholarship guidelines
  • General
    • Program administration duties including communicating with participants and community members, monitoring budgets and logistics for program and events
    • Co-oversee the Communications and Engagement Assistant with the Development Manager
    • Assist as needed in Greenheart International events

Summer Group Coordinator – Short-term Groups and Homestays

Summer II Marketing and Outreach Intern

Type of Position: 3 Month Summer Internship

The Work and Travel department within CCI Greenheart is dedicated to providing cultural exchange opportunities for international university students who come to the United States to work entry-level position during their academic break. Through its partnerships with several host organizations and international agencies, Work and Travel is able to sponsor over 6,000 international students each year.

Duties:
Responsibilities of the Intern may include, but are not limited to:

  • Research community information and track testimonials
  • Update Job Fair Handbooks as well as other marketing materials
  • Assist in updating the website
  • Assist with social media platforms to ensure they are up-to-date and on trend
  • Research methods of interacting with stakeholders on social media outlets (i.e.: Google+, LinkedIn, Pinterest, and Snapchat)
  • Track consumer behavior through Google Analytics and mass emails
  • Edit and draft blog postings to WordPress site
  • Assist in updating and photo gallery
  • Assist with the execution and follow up for various trips

Greenheart Travel Internship for Teach English & Work Abroad Programs

Type: Unpaid internship, temporary, 12 weeks with possible extension for an additional 10 weeks
Hours: 15 hours per week minimum; flexible daily hours available Monday – Friday, 9:00a.m. – 5:30p.m.
Location: Greenheart International Office, Chicago, IL
Start Date: ASAPThe Greenheart Travel Volunteer Intern will assist management and staff with data entry, interviewing candidates, phones, and various other administrative duties. Some of the intern’s duties may include, and are not limited to, the following:Program Coordination

  • Assist Program Managers with daily administration of Greenheart Travel Teach & Work Abroad programs
  • Review and process Teach program applications
  • Ensure timely receipt of participant applications and follow up as instructed by Program Managers
  • Assist in creating web content to update existing pages or to create new ones
