Program Manager

Within Greenheart Exchange, the High School Programs Department has J-1 visa designation by the U.S. Department of State to bring international high school students to the United States on a cultural exchange program that allows them to live with an American host family and attend high school for 5-10 months. Greenheart Exchange’s J-1 program is dedicated to extending the mission of cultural understanding, environmental consciousness, and world peace by connecting enthusiastic international students and American host families. As the only non-profit, eco-conscious J-1 visa sponsor, we pride ourselves on providing a quality experience by encouraging and enabling Greenheart Exchange staff, participants, Local Coordinators, and host families to work together on projects that promote environmentalism and sustainability.

What we’re looking for:

The High School Programs Department is looking to hire a Program Manager who will work with international sending partners and regional staff to manage pre and on program support of high school exchange students and assist in the everyday administration of the office and program.

Some things you might do as a Program Manager:

  • Learn and understand application intake process for a dynamic and engaging exchange program for high school students coming to the U.S. for 5-10 months
  • Utilize our custom database and maintain student records in the Department of Homeland Security Student Exchange Visitor Information System (SEVIS)
  • Facilitate the lines of communication across the US and the globe between Greenheart Exchange, its representatives and international partners including the simultaneous management of multiple stakeholder expectations in a fast paced and changing environment
  • Regular mediating, crisis management, and problem solving with students, host families, our field network and international sending partners
  • Assisting in the development or revision of Greenheart Exchange procedures, policies and program materials.

Some qualifications you should have:

  • Bachelor’s degree from a four-year college or university
  • Minimum of one year administrative experience and/or customer service experience

We are looking for an individual who will oversee sales and program management of a division of Greenheart Travel that focuses on sending native English speakers on international volunteer, language, and high school programs. The Program Assistant will support the Program Director with administrative tasks, while contributing to our personal, friendly and professional customer service approach for our participants. This role is intended to bring this level of personal touch supporting the sales process by engaging with potential participants at the point of their initial inquiry. The Program Assistant will be required to explain the details of the programs we have, inspire interested participants to travel on our programs, and support them throughout their program.

This is position that requires at least 2 years of proven work experience. Greenheart Travel is growing rapidly, so we’re looking for someone who is highly organized, adaptable and able to actively contribute to new ideas, growth and constant improvement. We have a small staff, each person wears many hats, and our roles are constantly evolving. Every staff member has input in the brainstorming and direction of our department.

Duties:

  • Responsible for program administration for Teach English in a Homestay, Teen Summer Language Camp, Volunteer Abroad, and High School Abroad
  • Sales, Recruitment, Program Management for High School and Short Term programs
    • Teach English in a Homestay, Volunteer, Language Camp
    • HSA Destinations: Argentina, Australia, Brazil, Costa Rica, and New Zealand *Portfolio may be flexible as required

The CAP Operations Assistant will assist the department with main responsibilities including, but not limited to:

  • Manage daily participant application and system change queue review, including providing applicant support and administrative oversight
  • Assist with application review process (J-1s & J-2s) to ensure all information has been completed and materials submitted and uploaded to the CCI Online account
  • Assist with eligibility review (resume and T/IPP) and sponsorship approval for CCI Direct participants
  • Manage T/IPP batching and manual processing in SEVIS
  • Provide applicant support by following up with candidates who need assistance, and ensuring they submit their completed applications by the deadline provided
  • Process RTI new students, DS-7002 Training Plans, and other manual processes
  • Conduct cross-checks and handle enrollment/extension of participant health insurance coverage
  • Draft visa letters of support, as necessary
  • Assist with CAP marketing activities, including development of promotional materials, website updates, and Google ads
  • Communicate with partners and host organizations
  • Conduct candidate English screening and eligibility interviews
  • Support daily program operations through administrative oversight

  • Provide in-country program support as needed
  • Position will also include general office duties, such as processing courier shipments and answering phones
  • Conduct candidate interviews to determine English speaking and comprehension skills, and answer questions they may have about the program and/or next steps in application process.
  • Screen new and existing host organizations for compliance and suitability; create/update host accounts in CCI Online, and coordinate (and conduct) site visits when necessary.
  • Will be required to assist with emergency phone duties on a rotating basis as needed

IT Help Desk Coordinator

What we are looking for:
Greenheart International seeks a Help Desk Coordinator that will work full-time during business hours. The Helpdesk Coordinator is responsible for first response support for Greenheart employees. This position will respond to and prioritize incoming Helpdesk tickets, escalating issues when necessary to the proper resources. Applicants should have an IT background, a record of providing exemplary customer service in a fast-paced environment, strong technical writing and training skills, and be detail oriented and organized. You should also be able to troubleshoot software or other technical problems and offer fast solutions via phone or remote sessions.
Some things you might do as the Help Desk Coordinator:

  • Create and update assigned help desk requests
  • Provide end-user support for all hardware, software, and phone-related issues
  • Provide preventative maintenance and support for all PCs, laptops, mobile, and handheld devices including printers and scanners
  • Prepare and configure computer equipment including installation and thorough testing of appropriate software
  • Assist the Helpdesk Technician with support tickets and Helpdesk needs
  • Create an IT training curriculum

Greenheart Exchange is seeking individuals with previous work experience as a Regional Manager, Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered.

Greenheart Exchange has J-1 designation by the U.S. Department of State to bring international high school students to the United States through our J-1, F-1 and Short Terms Programs, to live with host families. The Regional Director position is a crucial leadership position within the High School Programs department, by supervising a team of 20-50 Local Coordinators, and 75-100+ exchange students every year.

Responsibilities include, but not limited to:

  • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the timely placement of J-1 and F-1 exchange students with host families, who will attend high school for a semester or full academic year.

Summer Group Coordinator – Short-term Groups and Homestays

CCI Greenheart’s CAP program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international professionals and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Duties:

  • Assist with data entry related to participant Training/Internship Placement Plans (TIPPs)
  • Edit and draft blog postings to WordPress site
  • Assist in updating the website
  • Manage online General Inquiry form and constant contact follow up
  • Track stakeholder testimonials
  • Track cultural check-ins
  • Update Handbooks as well as other stakeholder materials
  • Assist with the execution and follow up for various trips
  • Draft newsletters to be distributed to host organizations, current participants, and alumni.
  • Assist in developing resources for stakeholders
  • Conduct potential participant Skype interviews
  • Review TIPPs for batching (as needed)
  • Managing inventory of CAP promotional materials
  • Assist with outreach initiatives (newsletters, postcards, additional follow up with potential stakeholders)
  • Assist in the implementation/management of CAP social media platforms (facebook/instagram/snapchat)
  • Assist in compiling staff meeting agenda
  • Assist in compiling data on participant programs (denials, appeals, date changes)
  • Perform general office tasks such as prepare shipments, answer phones, answer door, greet guests, distribute mail, and monitor office inventory (printer paper, shipping materials, etc.).
  • Additional projects as assigned. Internship goals will be determined by the intern and supervisor.

Qualifications:

  • Current college or university student or recent graduate from a four-year college or university.
  • Creative and outside-of-the-box thinking.
  • Self-directed and flexible with an exceptional ability to multi-task.
  • Excellent attention to detail and ability to work in an exhilarating and fast-paced environment.
  • Ability to interact within groups of all ages, nationalities, ethnicities and backgrounds.
  • Dedicated to cultural exchange, travel and/or have a passion for learning about other cultures.
  • Outgoing personality with a willingness to learn.
  • Strong work ethic and excellent written, oral, and interpersonal skills.
  • Excellent computer skills with competence in Microsoft Office Suite
  • Interest in industry and learning more about J-1 visa programs
  • Preferences: Ability to speak a second language and/or have experience living abroad; knowledge of social media outlets.

Spring Marketing and Outreach Intern

Type of Position: 3 Month Spring Internship
Department: Work and Travel Department
Start Date: Late December/Early January
Hours: 20 hours/week, 7:30 a.m. – 5:30 p.m. flexible times
Location: Chicago, IL

**This is an unpaid internship. Course Credits are available.**

The Work and Travel department within Greenheart International is dedicated to providing cultural exchange opportunities for international university students who come to the United States to work entry-level position during their academic break. Through its partnerships with several host organizations and international agencies, Work and Travel is able to sponsor over 6,000 international students each year.

Duties:
Responsibilities of the Intern may include, but are not limited to:

  • Research community information and track testimonials
  • Update Job Fair Handbooks as well as other marketing materials
  • Assist in updating the website
  • Assist with social media platforms to ensure they are up-to-date and on trend
  • Research methods of interacting with stakeholders on social media outlets (i.e.: Google+, LinkedIn, Pinterest, and Snapchat)
  • Track consumer behavior through Google Analytics and mass emails
  • Edit and draft blog postings to WordPress site
  • Assist in updating and photo gallery
  • Assist with the execution and follow up for various trips
  • Assist with any urgent and unexpected items
  • Perform an occasional data entry

Qualifications:

  • Bachelor’s degree in progress or higher. Candidates who are studying in International Education, and/or Marketing and Outreach are preferred.
  • Creative and outside-of-the-box thinking.
