Partner Relations Coordinator

Within CCI Greenheart, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of up to 4 months. CCI Greenheart’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI GH staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Some things you might do as our Partner Relations Coordinator:

  • Manage diverse portfolio of international sending partner accounts. Including but not limited to resolving participant support issues.
  • Monitor participant enrollments to ensure available program spaces are filled each season
  • Market 2000+ job placements to international sending partners by pre-determined deadlines.
  • Provide regular updates to internal teams on partner acceptance of placements.
  • Administrative assistance, as needed.
    • Position requires flexibility with changing administrative priorities including but not limited to complicated scheduling, event planning, printing, meeting minutes
  • Work with other division teams to ensure partners have enough placements to meet their allocated program spaces.
  • Coordinate meetings and virtual interviews across multiple time zones
  • Travel: position will require some domestic and international travel
    • Provide clear instructions and problem solve while abroad. Maintain calm demeanor while resolving travel issues (i.e. lost passport, canceled/delayed flights, lost luggage, etc.)
    • Opportunity to potentially lead international job fair hiring events with experience and inexperienced travelers. Including but not limited to public speaking, volunteering, logistical coordination, interview program candidates.
  • Develop and lead monthly trainings for team members
  • Participate and potentially present at annual conference and company retreat
  • Brainstorm new ideas on processes and procedures to bring to the team

Qualifications you should have:

  • Bachelor’s degree from a four-year college or university
  • Exceptional attention to detail
  • Experience with account management and customer service
  • Excellent writing skills and experience sending professional e-mail correspondence
  • Can manage multiple, changing priorities and able to work in a fast-paced environment
  • Experience in the Microsoft Suite (especially Microsoft Excel, Outlook calendar and Word formatting), Skype, WhatsApp
  • Experience with reporting, inventory, and/or budgeting
  • Be able to take initiative and creatively problem solve
  • Work independently and in a team with remote staff
  • Positive, flexible personality with a willingness to learn; applicant should be a proactive, diligent, and a creative self-starter
  • Fast learner and open to taking on multiple initiatives
  • Genuine desire to contribute to an organization that promotes cultural exchange and environmental consciousness
  • International travel experience required. Study or work abroad experience preferred.
  • International travel visa application experience preferred

The role of Development Manager at Greenheart International is a dynamic opportunity for you to develop your career in fundraising. Established in 2013, the Development Department has created, grown, and enhanced a multitude of key Greenheart programs that offer scholarships and service grants to recipients in Chicago and around the world. The Development Manager is responsible for overseeing all activities of Greenheart’s fundraising including determining and overseeing the annual budget, donor prospecting and engagement, planning fundraisers, staff and community trainings, marketing and communications, and more. In this role, you will have the unique opportunity to take on a great deal of responsibility, craft a strategic plan for the future of fundraising, work closely with Greenheart leadership, and fulfill our mission of connecting people and planet to create global leaders.

Some things you might do as our Development Manager:

Programmatic Funding:

  • Work closely with Department Directors, the Board of Directors and the Fundraising Team to determine annual programmatic and fundraising goals
  • Manage the development budget and serve as a liaison to the programming teams and accounting
  • Ensure that 2017 funding is achieved for a variety of scholarship goals
  • Assist with the logistical planning of scholarship and service grant programs as necessary

Donor Engagement

  • Assist the Board of Directors in fulfilling their funding goals
  • Work with the Marketing Department to develop appropriate giving materials
  • Manage all giving through the CRM system and the Greenheart donation webpage
  • Work with a consultant to develop a long-term donor engagement strategy that includes:
    • Direct mailing campaigns
    • Crowdfunding campaigns
    • Donor recognition materials and events
    • Grant and corporate sponsorship prospecting strategies
  • Oversee the process for updating infrastructure and technology to support engagement

The Annual Fundraiser

  • Manage the annual fundraiser
  • Work with the Development Department to determine the theme, location, and funding goals of the event
  • Collaborate with the Marketing Department to develop logos, invitations, signage, and other marketing pieces
  • Establish a corporate benefits packages and secure corporate sponsorship
  • Train all staff volunteers

Other

  • Deliver fundraising presentations at Greenheart conferences and staff trainings
  • Support all Greenheart events that involve fundraising
  • Supervise the Fundraising and Event Intern on the following tasks:
    • Secure all in-kind donations for alcohol, food, and silent auction items for the Greenheart Gala
    • Input of donor data into the Neon CRM system
    • Generate thank you letters for donors
    • Assist with Greenheart Gala organization
  • Oversee the collection and dissemination of programmatic impact metrics, including the Impact Report
  • Assist in other Greenheart projects and programs as needed
  • Attend the following events:
    • Camp Greenheart 2018
    • Greenheart Chicago Events
    • Some conferences and events outside of Chicago

Qualifications you should have:

  • Fundraising certification a plus
  • Minimum of 3-5 years of experience in fund development with a non-profit
  • Major Gifts background preferred
  • Able to work with upper management
  • Comfort establishing and maintaining relationships
  • Enthusiastic, motivating, and positive attitude
  • Expert in Microsoft Suite, CRM management systems, and online fundraising platforms
  • Excellent organizational, oral and written communication skills
  • Excellent time management skills

IT Help Desk Coordinator

What we are looking for: Greenheart International seeks a Help Desk Coordinator that will work full-time during business hours. The Helpdesk Coordinator is responsible for first response support for Greenheart employees. This position will respond to and prioritize incoming Helpdesk tickets, escalating issues when necessary to the proper resources. Applicants should have an IT background, a record of providing exemplary customer service in a fast-paced environment, strong technical writing and training skills, and be detail oriented and organized. You should also be able to troubleshoot software or other technical problems and offer fast solutions via phone or remote sessions.

Some things you might do as the Help Desk Coordinator:

  • Create and update assigned help desk requests
  • Provide end-user support for all hardware, software, and phone-related issues
  • Provide preventative maintenance and support for all PCs, laptops, mobile, and handheld devices including printers and scanners
  • Prepare and configure computer equipment including installation and thorough testing of appropriate software
  • Assist the Helpdesk Technician with support tickets and Helpdesk needs
  • Create an IT training curriculum
  • Conduct regular IT trainings
  • Provide users with technology tips and tricks
  • Evaluate and identify organizational training needs
  • Update organizational technology how-to materials
  • Assist in IT projects as instructed by the Helpdesk Technician and IT Director
  • Conduct yearly audits of organizational systems and generate reports
  • Set up and troubleshoot AV devices

Preferred Qualifications:

  • BA in Computer Science, Technical Writing, IT specialties, or related technical certifications preferred
  • At least 2 years’ experience in technical support
  • Ability to lift and carry up to 30 lbs. and to sit or stand for long periods of time
  • Network and local printer support experience required
  • Proficient in Microsoft Windows operating systems and Active Directory account setup
  • Proficient in Microsoft Office, including extensive Outlook troubleshooting and configuration
  • Customer Service and technical training experience
  • Technical writing experience preferred
  • Experience with hand-held devices, Mac, and tablets
  • Familiarity with general Help Desk ticketing systems and how to create, update, and escalate a ticket
  • Good problem solving skills with excellent attention to detail
  • Strong verbal, written, interpersonal, and organizational skills
  • Ability to work both independently and in a fast-paced, team environment
  • Ability to multitask and prioritize/complete assigned tasks

Summer Group Coordinator – Short-term Groups and Homestays

Type of Position: Temporary, part-time

CCI Greenheart seeks candidates in suburbs of major to mid-size cities to coordinate short-term Group Homestay Programs. We are open to programs throughout the US, but are actively seeking coordinators for summer 2017 groups in suburban areas (up to two hours from downtown) of the following cities:

On the Group Homestay Program, approximately 10 – 20 international high school students come to the United States for a 2-4 week period with the goal of improving their English and getting to know American culture. ESL Student Recruiter – Greenheart English Camp

Greenheart English Camp is a three week ESL summer camp designed exclusively for international teenagers with at least 2 years of English experience. Recruiters refer and provide initial screening to potential applicants and can receive a cash incentive for each student who is accepted and attends the program.
