CCI Greenheart is designated by the U.S. Department of State to sponsor the J-1 Intern and Trainee programs. These programs enable international university students and foreign professionals to participate on a cultural exchange program, interning or training at an American business in order to further the U.S.’ public diplomacy goals. Our staff is passionate about extending our mission of cultural understanding, environmental consciousness, and world peace by connecting enthusiastic international professionals and American host organizations. The Director will be in charge of day-to day-operations as well as creating a long-term vision for the Department. Working closely with department staff and our Services Director, the Program Director should enthusiastically approach the duties outlined below.

Some things you might do:

  • Collaborate with Services Director to manage a cohesive team of experienced and successful compliance, administrative, and outreach staff
  • Be directly responsible for business development and drive growth through regular analysis of current practices
  • Create unique marketing campaigns in collaboration with staff
  • Develop strategic partnerships with U.S. immigration attorneys, international universities and U.S./multi-national organizations
  • Become familiar with and oversee, manage and develop our online database
  • Diplomatically intervene and resolve issues that arise with participants on programs
  • Build and maintain relationships with overseas partners in collaboration with Vice President of International Exchange
  • In collaboration with Services Director, serve as U.S. government contact in correspondence with U.S. Embassies, the Department of State, and the Department of Homeland Security
  • Oversee review and approval of DS-7002 T/IPP (Training Internship Placement Plan forms) for program sponsorship
  • Represent CAP department at industry events and conferences around the United States
  • Be willing and able to work in the Chicago offices of Greenheart International

Some qualifications you should have:

  • Extensive travel experience required, with a clear dedication to cultural exchange and a passion for learning about other cultures

The Administrative Coordinator supports both the CEO and the International Relations Manager on a wide variety of projects. Program Assistant, Greenheart Club

The High School Programs Department is looking to hire a part-time Program Assistant to work 12-15 hours per week on service-learning and volunteer initiatives for high school-aged exchange students through Greenheart Club International, an online global community of volunteers. Greenheart Club features a network of change makers in an online space where you can log volunteer hours to earn grants for community projects.

Some things you might do:

  • Draft monthly e-newsletters to high school-aged exchange students detailing important events and updates on the Greenheart Club
  • Assist students with website and log-in issues
  • Monitor Greenheart Club International participation of High School Programs students including:
    • Running weekly reports on numbers of participants and hours logged
    • Approving/Denying volunteer hours

Senior Accountant

The Senior Accounting supports the Accounting Department and reports to the Vice President of Finance and Operations. If you are selected for this position, you will join a fast-paced environment at a growing non-profit. You will perform general accounting duties and reporting related to accounts receivable. You should have a thorough understanding of QuickBooks operations and be familiar with invoicing and recording payments and refunds by credit card, check, or wire transfer. You will follow-up with customers on outstanding accounts receivable and issue program payments to partners via international and domestic wire transfer. Some things you might do as a Senior Accountant:

  • Post all incoming cash, check, and credit card program payments to QuickBooks
  • Record daily deposits, credit card transactions, and bank and credit card fees in QuickBooks
  • Review and record program billing and invoicing in our internal database and in QuickBooks
  • Record all manual invoices created by program managers and send them to partners and customers via email
  • Send statements, inquiries, and reports for outstanding accounts receivable and manage write-offs for non-collectibles
  • Record in QuickBooks all credit memos, refunds, and commission payments created by program managers
  • Record in QuickBooks auto-debited SEVIS payments to the Department of State
  • Initiate and record outgoing domestic and international wire transfers
  • Perform bank reconciliation and analysis for Greenheart wire accounts, including Greenheart Shop
  • Record Greenheart Shop batch transactions and deposits
  • Review and analyze general ledger accounts, including pass-through expenses and reimbursable accounts as related to partner and customer billing

Employer Relations Specialist – Work and Travel

Within CCI Greenheart, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of 8 weeks to 4 months. CCI Greenheart’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Duties:

  • Focus on large scale, high profile employers for the placement of CCI Greenheart Work & Travel Program
  • Use a variety of prospecting methods, follow up on qualified leads, network at industry conferences and cold-calling
  • Ensure all placements meet CCI high standards, based on pre-approval procedures. Maintain professional and consistent interaction with all program stakeholders
  • Contribute to the betterment of CCI Greenheart WT promotional items, templates and presentations for recruitment/marketing purposes, as well as portfolio/marketing photos and testimonials
  • Attend and contribute to bi-weekly recruitment meetings. Serve as the contact for conferences, chambers of commerce, local social events and other industry happenings. Regional Manager Position – J-1 High School Program

Type of Position: Part-time salary employee
Hours: 20+ hours/week
Location: Work from home

CCI Greenheart is seeking individuals with previous work experience as a, Area Coordinator, Regional Manager/Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered. (If that is the case, please consider CCI Greenheart’s independent contractor Local Coordinator position.) CCI Greenheart has J-1 visa designation by the U.S. Department of State to bring international high school students to the United States through our High School Programs, to live with volunteer host families. The Regional Manager position is a crucial leadership position within the High School Programs department, by supervising a team of 10-20 Local Coordinators, and 25-50+ exchange students every year.

Responsibilities include, but not limited to:

  • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the placing of exchange students with volunteer host families, who will attend high school for a semester or full academic year.
  • Lead the regional team of field staff to ensure timely placement of all students assigned to the region, and that the proper documentation for the placement has been supplied through CCI Greenheart’s database.
  • Create a development plan for the region, which includes a regional training meeting for LCs.
  • Maintain compliance with Department of State regulations by providing the necessary documentation via the database for all students placed in the region (proper host families, host family information forms and school permission forms, contact logs, etc)
  • Work closely with the staff in the Chicago office through regular email, phone, and skype communication.

Skills:

  • Must have previous experience working with a cultural exchange organization (J-1 international high school students)

ESL Student Recruiter – Summer English Academy

The Summer English Academy (SEA) is a unique, three week, summer ESL camp designed exclusively for teenagers, with locations in New York State and Northern California. Volunteer Marketing and Outreach Intern

  • Update Flickr and YouTube accounts
  • Research methods of interacting with stakeholders on social media outlets (i.e.: Google+, LinkedIn)
  • Assist with general cultural program offering projects

Assisting in general duties for the Work and Travel Department

  • Assist with the execution and follow up for various trips (Conferences/Tradeshows and Going Greenheart Tours)
  • Assist with any urgent and unexpected items
  • Assist with answering and transferring phone calls
  • Perform an occasional data entry
  • Track participant and employer testimonials

Qualifications:

  • Bachelor’s degree in progress or higher.
  • Creative and outside-of-the-box thinking.
  • Self-directed and flexible with an exceptional ability to multi-task.
  • Excellent attention to detail and ability to work in an exhilarating and fast-paced environment.
  • Ability to interact within groups of all ages, nationalities, ethnicities and backgrounds.
  • Dedicated to cultural exchange, travel and/or have a passion for learning about other cultures.
  • Outgoing personality with a willingness to learn.
  • Strong work ethic and excellent written, oral, and interpersonal skills.
  • Excellent computer skills with competence in Microsoft Office Suite.
  • Preferences: Ability to speak a second language and/or have experience living abroad; knowledge of social media outlets; Photoshop proficiency.
