Staff Accountant

What we’re looking for:

The Staff Accountant position is responsible for processing payroll; helping with filing taxes; updating journal entries into the general ledger and other miscellaneous tasks related to accounting. The accountant is also responsible for handling various disbursements.

Some things you might do as the Staff Accountant:

  • Accounting
    • Assists the VP of Finance and Operations and Accounting Team in all aspects of cash management and general accounting functions, including year-end closing, mailings, and audit preparation
    • Assists in the monthly closing process for both CCI and GHS in Multi-view Financial Software
    • Process check requests and bank wires as needed
    • Assist with internal and external reporting, including salary reports for Greenheart Program Directors and Grant Draw downs
    • Other duties and functions as assigned
  • Payroll
    • Process payroll for multi-state and international employees in ADP Workforce with Pay Expert and HRB modules.
    • Generate bi-weekly reports and payments for Employee Benefits and/or 3rd party vendors.
    • Maintain Electronic HR files for all staff changes
    • Process ADP GL Interface files and Journal Entries in Multi-view for benefits and salaries – payroll upload from ADP.-
    • ADP Self Service Security administrator – individual log in for each employee into ADP.
    • Resolve tax agency notices and tax adjustments. Open new state accounts when necessary.
    • Reconcile payroll taxes to ADP tax register, 941 and W2 reports.
    • Reconcile all Payroll liability accounts and Accounts Payables entries related to benefits.
    • Compile Bureau of Labor Statistics reports – demographics/company employee profiles.
    • Perform other payroll tasks and account reconciliations as requested.
    • Calculate and Assist with J1 HS Reconciliations and Adjustments for Drawdown payments – Field staff.
    • Review Job Descriptions and Field Staff Contracts.
    • Liaison with 3 party vendors – Benefits and Payroll vendors.
    • Communicate with staff regarding payroll issues and announcements.
    • Register with out of state entities when Greenheart hires an employee in a new state for SUI, Worker’s Compensation Insurance and state tax withholdings.
    • Update Employee time off / accruals – accounting responsibility – payroll side – book adj. for the year end accrual (ADP for Auditors)
    • Resolve issues with employees related to payroll.
  • Employee Benefits
    • Manage and Reconcile general ledger, payments and reporting for the following:
    • Medical, Dental and Vision Insurance Carriers & Benefits (monthly)
    • 403b contributions, reporting, and maintenance (bi-weekly)
    • Flexible Spending Account (FSA) and Dependent Care Account (DCA) (bi-weekly)
    • RTA/CTA, Metra, and Ventra Benefit administration (bi-weekly)
    • Multi State Unemployment Insurance (bi-weekly)
    • COBRA (Consolidated Omnibus Budget Reconciliation Act) (monthly)
    • Workers Compensation (monthly)
    • Child Support, Garnishments, and Tax Liens (bi-weekly)
    • STD & LTD Disability Coverage (monthly)
    • Paid Time off policies (upon hire and as needed)
    • Paid and Unpaid Medical Leave (upon hire and as needed)

Qualifications:

  • Bachelor’s degree in Accounting, business or a related field
  • A minimum of three (3) years Payroll experience
  • Proficient with ADP Workforce Now and Microsoft Office Suite with an emphasis in Excel
  • Highly organized with attention to detail
  • Ability to work independently and collectively with others to meet goals and deadlines
  • Experience with Multi-view, Great Plains or a similar accounting software system highly desired.
  • Salesforce CRM (Customer Relationship Management) platform a plus.
  • Can manage multiple priorities and to work in a fast-paced environment

Summer Group Coordinator – Short-term Groups and Homestays

Type of Position: Temporary, part-time
Location: Work at home; around the U.S.
CCI Greenheart seeks candidates in suburbs of major to mid-size cities to coordinate short-term Group Homestay Programs. We are open to programs throughout the US, but are actively seeking coordinators for summer 2017 groups in suburban areas (up to two hours from downtown) of the following cities:

ESL Student Recruiter – Greenheart English Camp

Greenheart English Camp is a three week ESL summer camp designed exclusively for international teenagers with at least 2 years of English experience. Recruiters refer and provide initial screening to potential applicants and can receive a cash incentive for each student who is accepted and attends the program.

  • Assist with the creation of style guide addendums and design tutorials
  • Create graphics used for digital and print campaigns, social media and promotional

Development Volunteer Intern

What we are looking for:

We are looking for a Volunteer Intern for the Development Department of Greenheart International that will assist with all initiatives of the Development Department in several capacities. The specific role of the Development Intern will relate to planning the Annual Fundraiser, prospecting individual and corporate donors, and facilitating with the donor CRM database. This individual will gain and in-depth understanding of fundraising and the needs of a growing development department.

Some things you might do as the Development Intern:

Fundraising

  • Research Chicago corporations and their stewardship goals
  • Develop marketing materials for donor solicitation

Communications

  • Assist with the CRM database for fundraising and outreach initiatives
  • Develop “Best Practices” for data entry and donor recognition
  • Record and analyze fundraising data, including the NEON website and greenheart.info webpage
  • Implement the monthly e-blast giving campaign
  • Monitor donations and their effect on specific giving campaigns
  • Create a template for development emails include solicitations, events, recognition, and taxes

Events

  • Assist with the Greenheart Annual Fundraiser logistical planning
  • Research and solicit corporate sponsorships and in-kind donations
  • Ensure all donations are recorded into NEON
  • Help create an event webpage and manage ticket sales
  • Work with development to create promotional materials for the Annual Fundraiser
  • Help to implement the event marketing plan

Other Greenheart Support

  • Blog Editing:
    • Help optimize photos, edit for spelling/grammar and finalize copy for article submissions
  • Social Media:
    • Seek out external content to post on Facebook such as travel-related articles and inspiring program-specific videos
    • Collaborate on creating promotional stories for Snapchat and Instagram, as needed
  • Flyers and Collateral Materials:
    • Assist with formatting flyers and various other print materials according to design templates

Within Greenheart Exchange, the Career Advancement Program (CAP) Department has J-1 Internship and Trainee designations through the U.S. Department of State to bring international professionals to the United States on a cultural exchange program that allows them intern or train with a U.S. business. CCI Greenheart’s CAP program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international professionals and American Host Organizations. Duties:

Spring Marketing and Outreach Intern

The Work and Travel department within Greenheart International is dedicated to providing cultural exchange opportunities for international university students who come to the United States to work entry-level position during their academic break. Through its partnerships with several host organizations and international agencies, Work and Travel is able to sponsor over 6,000 international students each year.

Duties:
Responsibilities of the Intern may include, but are not limited to:

  • Research community information and track testimonials
  • Update Job Fair Handbooks as well as other marketing materials
  • Assist in updating the website
  • Assist with social media platforms to ensure they are up-to-date and on trend
  • Research methods of interacting with stakeholders on social media outlets (i.e.: Google+, LinkedIn, Pinterest, and Snapchat)
  • Track consumer behavior through Google Analytics and mass emails
  • Edit and draft blog postings to WordPress site
  • Assist in updating and photo gallery
  • Assist with the execution and follow up for various trips
  • Assist with any urgent and unexpected items
