Compliance Specialist - Career Advancement Program (CAP)

Type: Full time, salaried

Within CCI Greenheart, the Career Advancement Program (CAP) Department has J-1 Internship and Trainee designations through the U.S. Department of State to bring international professionals to the United States on a cultural exchange program that allows them intern or train with a U.S. business. CCI Greenheart’s CAP program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international professionals and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

Duties: 

The CAP Compliance Specialist will assist the department with main responsibilities including but will not be limited to managing in-country program support for Interns and Trainees in the U.S., including policy compliance, probations, and disciplinary actions. The specialist will be responsible for tracking program evaluations and required participant monthly check-ins, including follow-up. Additionally, the Compliance Specialist will assist the program manager and other department staff with compliance-related duties including but not limited to host company screening, review of candidate Training Plans, database development, site visits, application review, phone support, government communications, and material revisions. This position has a great potential for rapid growth within this burgeoning department.

Responsibilities include, but not limited to: 

  • Enhance and manage participant support and disciplinary actions
  • Tracking and processing program evaluations
  • Daily monitoring of participant monthly check-ins, including follow-up support when necessary
  • Ability to handle other compliance-related duties when necessary based on high volume or staff absence, including but not limited to developing knowledge of regulations and compliance protocol.
  • Potential of up to 20% travel
  • Assist staff in drafting materials and program responses and with subsequent revisions
  • Assist Program Manager and Services Director with database development
  • Assistance with screening of DS-7002 Training Internship Placement Plans.
  • Assistance with phones, filing, and general administrative items on an as-needed basis

Compliance Assistant - Work and Travel

Within CCI Greenheart, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of up to 4 months. CCI Greenheart’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness, and world peace by connecting enthusiastic international students and American host organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and host organizations to work together on projects that promote environmentalism and sustainability.

Duties: 

The Compliance Assistant is responsible for assisting the Policy and Compliance Manager regarding program regulations. Primary job duties will include running and reviewing multiple reports to ensure compliance with program regulations; assisting with the Self-Placed Program by taking on some employer accounts for verification and participant follow up; drafting, reviewing, and updating internal procedures; assisting with audits.

Cultural Outreach Assistant - Work Programs

CCI Greenheart’s Work Programs Department is dedicated to extending the mission of cultural understanding, environmental consciousness, and world peace by connecting enthusiastic international students and American host organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI Greenheart staff, participants and host organizations to work together on projects that promote environmentalism and sustainability.

Duties: 

The Cultural Outreach Assistant will report to the Cultural Outreach Manager. Main Duties: Take enthusiastic initiative to maintain CCI Greenheart’s Work Programs as a leader in the industry, by promoting all cultural initiatives for the department. Primary focus will be tracking monthly monitoring, assisting creative initiatives for our participants, and ultimately assisting in the implementation of the alumni initiative of Work Programs. Other job duties will be assigned based on time of season. Pending work performance, position may grow to include more responsibilities in the future.

Office Assistant - Work and Travel

The Office Assistant will provide general office support for the Work and Travel (WT) department and will report to the Director of Business Development and Operations. Duties will include, but not limited to: Keep up with the Annual Timeline and provide departmental update, assist with long-terms and/or periodical projects, assist with tracking departmental goals, organize and compile departmental submissions, assist with the annual Work & Travel Conference planning, maintain an accurate departmental calendar and conference room reservations, prep agenda and take minutes for departmental meetings, manage office equipments, keep track of office/kitchen/cleaning supplies, maintain general office upkeep, handle mail and shipments, and other duties as assigned.

Community Representative - Summer Work Travel Program

Type: Contract position (not full-time employment)
Start Date: ASAP
Location: Old Orchard Beach, ME
Compensation: $4000, paid incrementally plus bonus potential (see below). There is an additional budget of $1500 for cultural programming.

We are looking for enthusiastic, dynamic individuals who: 

  • Have curiosity about other cultures and are interested in collaborating with international students
  • Have a strong connection in their community and are willing to reach out to and coordinate with local public officials and organizations
  • Enjoy talking to anyone and everyone in their community about cultural exchange
  • Have access to a computer and the internet
  • Have access to a car or public transportation
  • Are self-directed, but can also take direction from others
  • Set attainable goals and takes action to meet them
  • Have good problem solving skills
  • Exhibit grace under pressure

Community Representatives Perform the Following Duties: 

  • Source safe, affordable, compliant housing for approximately 75 J-1 Exchange Visitors (Summer Work Travel participants)
    • Liaise with local community officials and departments to ensure housing offerings are in line with local code and regulation
    • Evaluate and report living conditions of specified participants in your region
    • Collect housing agreements with landlords and retain for CCI Greenheart records
  • Network and establish relationships with local organizations (Chambers of Commerce, Police Department, Rotary and Lions Clubs, etc.) to serve as an advocate for international and cultural exchange in their local community
    • Championing J-1 Exchange Visitor Programs locally within communities and public service realms
  • Provide additional support to CCI Greenheart J-1 participants placed in their area
  • Collaborate with CCI Greenheart national office to plan and execute meaningful cultural exchange activities and offerings for participants

Compensation Schedule: 

  • $1000 payable upon confirmation of housing secured for entire group of participants
  • $1000 payable upon participant arrival (June 15, 2015) and seamless check-in/validation process
  • $2000 payable at close of season (no later than October 15, 2015)
    Total: $4000 

Additional Potential: $1500 payable upon submission of 3 substantial blog posts highlighting positive participant program experience, consisting of pictures/video/media

High School Program Administrative Assistant

Type: Full Time - Temporary
Start Date/End Date: Flexible Start - January 2015; Ending May 2015

Within CCI Greenheart, the High School Programs Department has J-1 designation by the U.S. Department of State to bring international high school students to the United States on a cultural exchange program that allows them to live with an American host family and attend high school for 5-10 months. CCI Greenheart’s J1 program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American host families. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI GH staff, participants, Local Coordinators, and host families to work together on projects that promote environmentalism and sustainability.

Duties: 

  • Learning and understanding application intake process for a dynamic and engaging exchange program for high school students coming to the U.S. for 5-10 months
  • Utilizing our custom database
  • Administrative support such as reviewing applications, tracking missing documents, organizing mailings and answering phones
  • Supporting office staff with tasks and projects as they arise
  • Providing database support to outside users

Duties: 

  • Bachelor's degree
  • Minimum of 1 year of administrative experience and customer service experience
  • Efficient with data entry and a keen eye for detail

Regional Manager Position at CCI Greenheart - Academic Year Program

Type: Part time salary employee
Hours: 20+ hours/week
Location: Wisconsin - work from home

CCI Greenheart is seeking individuals with previous work experience as a, Area Coordinator, Regional Manager/Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered. (If that is the case, please consider CCI Greenheart’s independent contractor Local Coordinator position.)

The Center for Cultural Interchange (CCI) has J-1 designation by the U.S. Department of State to bring international high school students to the United States through our Academic Year Program, to live with volunteer host families. The Regional Manager position is a crucial leadership position within the AYP department, by supervising a team of 10-20 Local Coordinators, and 25-50+ exchange students every year.

Responsibilities include, but not limited to: 

  • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the placing of exchange students with volunteer host families, who will attend high school for a semester or full academic year.
  • Lead the regional team of field staff to ensure timely placement of all students assigned to the region, and that the proper documentation for the placement has been supplied through CCI’s database.
  • Create a development plan for the region, which includes a regional training meeting for LCs.
  • Maintain compliance with Department of State regulations by providing the necessary documentation via the database for all students placed in the region (proper host families, host family information forms and school permission forms, contact logs, etc)
  • Work closely with the staff in the Chicago office through regular email, phone, and skype communication.

Skills: 

  • Must have previous experience working with a cultural exchange organization (J-1 international high school students)
  • Ability to lead and guide a dispersed team
  • Self-motivated, creative and organized
  • Excellent written and oral communication skills
  • Outgoing personality and enthusiasm for international exchange
  • Excellent computer skills with competence in Microsoft Office Suite, eager to learn and use new technology, previous database skills a plus

Summer Group Coordinator - Short-term Groups and Homestay

ESL Student Recruiter - Summer English Academy

The Summer English Academy (SEA) is a unique, three week, summer ESL camp designed exclusively for teenagers, with locations in New York State and Northern California. Student recruiters refer and provide initial screening to potential applicants. Recruiters receive a cash incentive for each student who is accepted and attends the program.
