High School Program Administrative Assistant

Type: Full Time - Temporary
Start Date/End Date: Flexible Start - January 2015; Ending May 2015
Hours: 35-40 hours per week

Within CCI Greenheart, the High School Programs Department has J-1 designation by the U.S. Department of State to bring international high school students to the United States on a cultural exchange program that allows them to live with an American host family and attend high school for 5-10 months. CCI Greenheart’s J1 program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American host families. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI GH staff, participants, Local Coordinators, and host families to work together on projects that promote environmentalism and sustainability.

Duties: 

  • Learning and understanding application intake process for a dynamic and engaging exchange program for high school students coming to the U.S. for 5-10 months
  • Utilizing our custom database
  • Administrative support such as reviewing applications, tracking missing documents, organizing mailings and answering phones
  • Supporting office staff with tasks and projects as they arise
  • Providing database support to outside users

Duties: 

  • Bachelor's degree
  • Minimum of 1 year of administrative experience and customer service experience
  • Efficient with data entry and a keen eye for detail
  • Comfort and aptitude learning new software and understanding work flow processes
  • High level of comfort with general computer skills and Microsoft Office programs
  • Ability to communicate professionally and diplomatically via phone, email and one on one
  • Teamplayer; upbeat and personable demeanor
  • Self-directed and flexible

Program Assistant - Work and Travel

Type: Full Time, Temporary
Start Date: January 1, 2015. 3-8 months in duration. First 3 months are provisional and extensions are based on performance and program workload
Hours: 40 per week, Monday-Friday 9-5:30pm
Location: Chicago, IL

Within CCI Greenheart, the Work and Travel (WT) Department has J-1 designation by the U.S. Department of State to bring international university students to the United States on a cultural exchange program that allows them to work for a period of 8 weeks to 4 months. CCI Greenheart’s WT program is dedicated to extending the mission of cultural understanding, environmental consciousness and world peace by connecting enthusiastic international students and American Host Organizations. As the only non-profit green J-1 visa sponsor, we pride ourselves on providing a quality experience, while encouraging and enabling CCI GH staff, participants and Host Organizations to work together on projects that promote environmentalism and sustainability.

The Work and Travel Department is looking to hire temporary support staff that can assist its Operations and Services divisions in preparation for the busy summer season.

Duties: 

The Operations Assistant is responsible for performing application review, job offer entry, U.S. host employer vetting, DS-2019 processing, evaluating participant arrival information and assisting with phones. The verification of U.S. Employers and serving as in-country support to our participants requires excellent verbal and written communication. The position also involves a great deal of teamwork, multi-tasking, ability to shift gears and handle a fast-paced environment.

The Services division of the WT department is responsible for the placement, monitoring and in-country support for all direct placement program participants. Services coordinators and assistants aid our stakeholders: partners, participants and US employers, in ensuring a smooth, meaningful program experience. Partner relations staff contract, train, and work with our network of international sending partners to assist in the participant recruitment process, relay available WT positions, and coordinate hiring events (international Job Fairs and Greenheart World’s Fairs virtual events).

Qualifications:

Regional Manager Position at CCI Greenheart - Academic Year Program

Type: Part time salary employee
Hours: 20+ hours/week
Location: Wisconsin - work from home

CCI Greenheart is seeking individuals with previous work experience as a, Area Coordinator, Regional Manager/Director or similar level within a cultural exchange organization. Applicants without prior experience in the industry will not be considered. (If that is the case, please consider CCI Greenheart’s independent contractor Local Coordinator position.)

The Center for Cultural Interchange (CCI) has J-1 designation by the U.S. Department of State to bring international high school students to the United States through our Academic Year Program, to live with volunteer host families. The Regional Manager position is a crucial leadership position within the AYP department, by supervising a team of 10-20 Local Coordinators, and 25-50+ exchange students every year.

Responsibilities include, but not limited to: 

  • Build and supervise a team of Local Coordinators (independent contractors) to facilitate the placing of exchange students with volunteer host families, who will attend high school for a semester or full academic year.
  • Lead the regional team of field staff to ensure timely placement of all students assigned to the region, and that the proper documentation for the placement has been supplied through CCI’s database.
  • Create a development plan for the region, which includes a regional training meeting for LCs.
  • Maintain compliance with Department of State regulations by providing the necessary documentation via the database for all students placed in the region (proper host families, host family information forms and school permission forms, contact logs, etc)
  • Work closely with the staff in the Chicago office through regular email, phone, and skype communication.

Skills: 

  • Must have previous experience working with a cultural exchange organization (J-1 international high school students)
  • Ability to lead and guide a dispersed team
  • Self-motivated, creative and organized
  • Excellent written and oral communication skills
  • Outgoing personality and enthusiasm for international exchange
  • Excellent computer skills with competence in Microsoft Office Suite, eager to learn and use new technology, previous database skills a plus

Summer Group Coordinator - Short-term Groups and Homestay

Type of Position: Temporary, part-time

CCI Greenheart seeks candidates in suburbs of major to mid-size cities to coordinate short-term Group Homestay Programs. We are actively seeking coordinators for summer 2014 groups in suburbs of the following cities:

On the Group Homestay Program, approximately 10 - 20 international high school students come to the United States for a two to four week period with the goal of improving their English and getting to know American culture. Most groups arrive in summer but planning and recruitment of host families begins 4+ months prior. ESL Student Recruiter - Summer English Academy

The Summer English Academy (SEA) is a unique, three week, summer ESL camp designed exclusively for teenagers, with locations in New York State and Northern California. Student recruiters refer and provide initial screening to potential applicants. Recruiters receive a cash incentive for each student who is accepted and attends the program.

Work and Travel Volunteer Intern

Type: Internship, unpaid

Work and Travel (WT) Department Description: CCI Greenheart has J-1 designation by the U.S. Department of State to bring international university students to the United States through our Work and Travel Program for seasonal work experience. The WT Volunteer Intern will assist management staff specifically with developing CCI’s Greenheart initiative within the Work and Travel Program and also with day to day program operations. Greenheart is CCI's environmental and social initiative that connects people and planet through environmentalism, fair trade, social transformation, and cross cultural understanding.

Responsibilities may include but are not limited to: 

  • Assist Work Programs staff in developing the cultural component of the program. Responsibilities in this area may include analyzing the cultural activities of participants, researching community information for various offerings, such as festivals, English classes, historical sites, etc.
  • Assist with developing the Greenheart Club that allows participants to enter volunteer hours within their communities. Projects may include creating program materials and assisting with participant outreach.
  • Assisting with the preparation, execution and follow up for departmental events (Going Greenheart Tour, Greenheart Projects, conferences, etc).
  • Keeping the department current using social media and research.
  • Assisting staff with answering and transferring phone calls, as well as other administrative duties, as needed.

The WT Marketing Volunteer Intern will assist management staff specifically with developing the organization’s initiative within the Work and Travel Program and also with day to day program operations. Greenheart is CCI Greenheart’s environmental and social initiative that connects people and planet through environmentalism, fair trade, social transformation, and cross cultural understanding.

Responsibilities may include but are not limited to:  

  • Assist with various marketing projects
  • Develop the creative strategy for marketing materials and the project management of developing the piece with a graphic designer
  • Research community information, track testimonials and update Job Fair Handbooks as well as other marketing materials
  • Update the CCI Greenheart website and the photo library
  • Assist with the strategy and execution of various social media outlets (specifically LinkedIn and Google+)
  • Assist with the execution and follow up for various trips (Conferences/Tradeshows and Going Greenheart Tours)
  • Assist the Outreach Manager on various projects and cultural events as needed
  • Assist with answering and transferring phone calls
